The Censors', Academic, and Admissions & Access Offices

The Censors are academics who have taken on responsibility for overseeing the academic life of the House as well as many aspects of its social life for up to four years. They sit on all the major Governing Body committees, hold regular meetings with representatives of the Junior and Graduate Common Rooms, and seek to represent the interests of Junior Members.

The Senior Censor oversees academic matters including general concerns about work (when it is thought inappropriate to discuss this with a Personal Tutor), requests for a change of course, academic discipline and financial support, and general complaints of an academic nature. The Senior Censor has an office on the First Floor of Tom 8.

The Junior Censor
Professor Dirk Aarts

The Junior Censor deals with routine matters such as permission to be absent, permission to hold a party and non-academic discipline. . He also oversees the work of three Wardens (graduates who have delegated authority on welfare and disciplinary matters). The Junior Censor will be available to see Junior Members during set hours in term-time.  The Junior Censor has an office on the Second Floor of Tom 8. Please note that party applications can, in most cases, be processed by using the online form without the need to see the Junior Censor in person. The Academic Registrar supports the Senior Censor and deals with a number of academic and non-academic matters, including financial assistance applications and examination issues, such as applications for special examination arrangements, requests for extensions to written work and submission of extenuating circumstances.

The Academic Services Manager services the Tutors' Meeting and the Equality and Diversity Committee, manages OxCort and student feedback, and acts as the Deputy Disablity Coordinator. The Academic Services Manager also ensures compliance with College, Univeristy and wider legal requirements.

The Admissions and Access Manager identifies and establishes appropriate outreach activities to attract the widest possible field of student applications. They hold oversight of the Admissions procedures to ensure compliance with College, Univeristy and wider standards and legal requirements.

The Admissions Officer administers the main College open days, postgraduate admissions including graduate scholarships, and the undergraduate admissions process: from UCAS application all the way through to freshers’ week, including application, interview organisation, offer holder information and confirmation of results.

The Censors' Administrator
Jackie Webber

The Censors' Administrator acts as first point of contact for enquiries to the Academic Office, and oversees maintenance of standard operating procedures for office functions. They manage room bookings during term time, provide administrative support for the Censors, maintain records of Honorary Memberships and SCR memberships, and coordinate recturitment and induction processes for academic staff. They provide administrative support for the Research Centre and Grants Committee.

Censors' Office FAQs

What do I do if my Bod card has been lost, damaged or stolen?

Email academic.office@chch.ox.ac.uk  and we will contact the University Card Office, who will replace your lost, damaged or stolen card. 

There is a £15 replacement fee for lost cards, payable at the University's online store. We will email you when your replacement card is ready for collection from the Academic Office. Please note that once you have reported your card as missing, for security reasons, a stop will be put on that card, meaning that if you find it at a later date, it will no longer be valid and the replacement card will still need to be paid for.

There is no fee for replacing a stolen card where a crime number is reported.

Damaged cards are replaced free of charge with the exception of Retirees cards where a £15 fee must be paid (the card expiry date will however be extended for the maximum of four years duration).

How do I get an enrollment certificate?

Once your University registration is complete an enrolment certificate will be available to print from Student Self Service (under the 'My Student Record' section) confirming your enrolled status at the University of Oxford for the current academic year. This certificate may be used for council tax exemption, opening a bank account, by international students who need to register with the police, and to confirm your student status for other purposes e.g. to show a financial sponsor or a landlord when renting private property.

Please note, that if you are continuing your studies with the University from one academic year to the next, there will be a short period during August when you will not be able to access the enrolment certificate. When you have completed your University registration for the new academic year, following the opening of University registration on 1 September, the enrolment certificate will be available to you. If you urgently need proof of your student status during this August period, email academic.office@chch.ox.ac.uk.

How do I make an appointment to see the Junior or Senior Censor?

The Senior Censor and Junior Censor are available to see students by appointment on weekdays during term time. The Senior Censor's Office is on the first floor of Staircase 8, Tom Quad. The Junior Censor's Office is on the second floor of Staircase 8, Tom Quad.

Who do I contact if I want to stay in my room over the vacation?

The Steward's Office will invite students to request vacation residence by completing an online form by the end of 4th week. To amend your requested vacation residence period, please email the Steward's Office

How do I apply for Junior Member grants (e.g Sports Grants/Book Grants/Travel Grants etc.)
